Standards and Practices

These standards outline the minimum compliance, safety, and animal-care requirements for all drivers and horse owners using the Haulit Equine platform. Adherence to these policies is mandatory to remain in good standing and eligible to accept hauls. Failure to comply may result in account suspension or removal.

Driver Credentialing

Required:

• Maintain a valid Driver’s License / CDL (if applicable).

• Hold an active USDOT Number (and MC Number if interstate or for-hire). If you currently possess one during the FMCSA MC phase-out, please provide it.

• Enroll and comply with FMCSA Clearinghouse regulations if applicable.

• Maintain current commercial auto insurance meeting FMCSA minimums.

• Maintain commercial liability insurance and proof of coverage on file with Haulit Equine.

• Update Haulit Equine immediately upon any change to USDOT or insurance status.

• Drivers agree to participate in bi-annual MVR checks conducted by Haulit Equine for regulatory compliance.

Recommended:

• Carry equine-specific liability coverage ('Care, Custody & Control') to protect against horse injury/death claims.

• Maintain a personal umbrella policy for additional liability protection.

Animal Health & Documentation

Required:

• Obtain valid Coggins Test documentation for every horse being transported.

• Obtain health certificates for interstate travel (per USDA & state rules). Certificates must be within 30 days before the haul.

• Collect any special instructions (feeding, watering, handling, stops).

• Horse Owners must confirm each animal is healthy and fit for travel. Horses showing signs of contagious illness or lameness may be refused transport at the driver’s discretion.

Recommended:

• Take photos of paperwork and upload them via the Haulit Equine platform for recordkeeping.

Vehicle & Trailer Standards

Required:

• Vehicle and trailer must be registered, road legal, inspected, and safe.

• FMCSA requires emergency roadside reflectors and a fire extinguisher for the vehicle.

• Trailer must include adequate ventilation, safe flooring (anti-slip, strong, no rot), dividers (except in box stalls), and tie systems for horse restraint.

• Haulers must verify that the trailer’s load rating matches or exceeds the total horse and equipment weight.

• Trailers must be cleaned and disinfected between transports to prevent cross-contamination.

Recommended:

• Carry extra water, buckets, hay nets, and first-aid supplies for horses.

• Carry a human first aid kit.

• Use video or photo verification of the trailer before pickup to reassure customers.

Trip Setup & GPS Tracking

Required:

• Enter pickup and drop-off addresses into the Haulit Equine app.

• Activate GPS tracking for customer visibility at the time of pickup. (This feature is automatic when Hauler clicks 'Start Haul').

• Log unexpected delays (traffic, weather, breakdowns) in the app. Haulers may also use the in-platform messaging service.

• Failure to activate GPS tracking or log significant delays may result in temporary suspension or withheld payouts.

Recommended:

• Plan rest stops every 4–6 hours for watering and checks.

• Monitor weather conditions along the route in advance.

Payments & Rates

Required:

• Haulers will set per-mile and per-horse rates in the app during the quoting process.

• Be aware that Haulit Equine charges a 5% customer transaction fee (retained by the platform) on total Hauls under $5,000 & 3.5% on Hauls $5,001 and higher.

• All payments are processed in-app; funds are disbursed within 1–2 business days. Horse Owner payment is held in escrow until delivery.

• All quoted rates must include mileage, additional horse charges, and any layover fees.

• No off-platform payments are permitted.

Recommended:

• Offer discounts for transporting multiple horses (customer loyalty) and fill rate.

Loading & Handling

Required:

• Hauler must verify horse identity, health certificate, and Coggins paperwork.

• Inspect horse demeanor (calm, nervous, aggressive) and note in app.

• Load carefully using safe handling practices.

• Use approved halters and lead ropes during loading/unloading.

Recommended:

• Provide ETA updates to customers before leaving pickup.

• Take a short video/photo of horse(s) condition at pickup.

In-Transit Care

Required:

• Drive responsibly - no reckless driving or long delays without updates.

• Provide updates via Haulit Equine if delayed by weather, accidents, or detours.

• Monitor horse well-being at rest stops.

• Record any incident of horse distress, injury, or refusal to load/unload in the Haulit Equine app immediately after occurrence.

Recommended:

• Send occasional photos through the app for customer peace of mind.

Delivery & Verification

Required:

• Safely unload horse(s) and verify drop-off paperwork.

• Confirm delivery in the Haulit Equine app by selecting 'Delivered'.

• Obtain a digital signature or confirmation from the Horse Owner.

Recommended:

• Take a final photo/video of the horse(s) condition at delivery.

• Ask Horse Owner for rating/feedback in-app.

• In cases of dispute regarding horse condition at delivery, Haulit Equine will review pre- and post-trip photos or videos for resolution.

Recordkeeping & Compliance

Required:

• Keep transport logs, driver credentials, insurance documents, and compliance records updated in the Haulit Equine app.

• Maintain digital copies of credentials, insurance, and trip logs in the Haulit Equine system.

• Paper copies should be available for roadside inspection.

Recommended:

• Store all trip details for 3 years (mirroring FMCSA recordkeeping standards).

Layovers & Overnight Stays

Required:

• All arrangements for overnight stays are pre-planned and arranged by the Horse Owner and Hauler if needed.

• Drivers must ensure layover locations (horse motels or barns) provide safe stalls, water, and ventilation.

• Overnight care responsibilities and costs are agreed upon in-app before travel begins.

Driver Reminder & Disclaimer

Required:

• Haulit Equine is a P2P platform; drivers are independent contractors.

• It is your responsibility to stay compliant with federal, state, and animal welfare laws.

• Failure to maintain valid documents or insurance may result in suspension.

• Haulit Equine functions solely as a technology platform connecting independent haulers and customers. Compliance with all federal, state, and animal-welfare regulations is the responsibility of each user.
